Job Description

A Contracts Administrator plays a pivotal role in a company by ensuring that all its contractual engagements are managed effectively and efficiently. The primary responsibility of a Contracts Administrator is to oversee the company's contractual agreements, ensuring compliance with legal standards and company policies. They work closely with legal, procurement, and project management teams to draft, review, negotiate, and finalize terms of contracts. A Contracts Administrator also plays a crucial role in risk management, ensuring that any potential litigation or disputes are addressed proactively. This position requires strong analytical skills, attention to detail, and a solid understanding of contractual language and law. Successful Contracts Administrators are excellent communicators who can manage multiple projects simultaneously while prioritizing tasks to meet deadlines.


Responsibilities

  • Review and draft contracts, ensuring they align with company objectives and legal standards.
  • Negotiate terms and conditions with vendors, clients, and external parties to reach favorable agreements.
  • Ensure all contractual documents are accurate and complete before final approval and execution.
  • Maintain an organized system for digital and physical records of all contracts and agreements.
  • Collaborate with the legal department to finalize contract negotiations and mitigate potential risks.
  • Develop and implement procedures to streamline contract administration processes within the organization.
  • Coordinate with project managers to align contract terms with project needs and timelines.
  • Monitor contractual obligations to ensure all parties are compliant throughout the contract lifecycle.
  • Implement contract changes or modifications in accordance with established guidelines and policies.
  • Resolve any issues or disputes that arise during contract execution by liaising with relevant parties.
  • Provide training to staff on contract terms, compliance, and the contract management process.
  • Analyze contract performance, identifying opportunities for improvement in future negotiations.

Requirements

  • Bachelor’s degree in business administration, law, or a related field required.
  • At least 3-5 years of proven experience as a Contracts Administrator or in a similar role.
  • Strong understanding of contract law, legal requirements, and industry standards.
  • Exceptional negotiation skills with the ability to achieve favorable contract terms.
  • Proficient in contract management software and Microsoft Office Suite applications.
  • Excellent organizational skills and attention to detail for managing multiple contracts.
  • Outstanding verbal and written communication skills for effective interaction with stakeholders.
