Job Description
Ensure the smooth and efficient administration of the Engineering Department in accordance with hotel standards.
Deliver courteous, professional, and flexible service at all times—via email, telephone, or in person—in line with the hotel’s service standards.
Coordinate all internal and external correspondence, manage incoming emails, and perform other administrative duties for the Engineering Department.
Maintain complete and accurate records of all engineering reports, supplier agreements, and contracts, following Sofitel’s policies and procedures.
Remain fully familiar with all hotel facilities that are critical to the operations of the Engineering Department.
Perform established opening and closing procedures for the Engineering Office.
Maintain an efficient and accurate filing system—both manual and electronic—at all times.
Accurately document quarterly, bi-annual, and annual inventories of operating equipment.
Ensure the engineering office and its surrounding areas are kept clean, organized, and presentable at all times.
Manage all planned preventive maintenance (PPM) and guestroom service procedures, follow up on their completion, and update relevant systems accordingly.
Monitor and manage operating supplies, minimizing waste and spoilage.
Be prepared to execute emergency procedures as needed.
Assist in emergency situations by performing duties outside the standard scope of the role when required.
Be available on-call after normal operating hours and coordinate tradespersons or vendors as needed during these times.
Perform any other duties as reasonably assigned by the Assistant Director or Director of Engineering.
Qualifications
Diploma or degree in Engineering, Facilities Management, or a related field preferred
Minimum 2-3 years of administrative or coordination experience, ideally within a hotel or hospitality engineering department
Strong understanding of engineering or maintenance operations in a hospitality environment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent organizational and time-management skills with attention to detail
Strong verbal and written communication skills in English (additional languages are a plus)
Ability to multitask and work effectively under pressure in a fast-paced environment
Strong interpersonal skills and a professional demeanor
Familiarity with safety, hygiene, and local regulatory compliance relevant to hotel engineering operations
Willingness to work flexible hours, including weekends or on-call duties when needed
Ability to maintain confidentiality and handle sensitive information with discretion
