Job Description

The role of a Receptionist is integral to the smooth operation of any business, acting as the first point of contact for clients, visitors, and employees. A successful Receptionist is a professional and courteous individual who excels in organization and communication. This individual is responsible for managing front desk activities and ensuring that all administration tasks are handled efficiently. As the face of the company, the Receptionist provides exceptional customer service and maintains a welcoming environment for all visitors. This role requires a keen eye for detail, an ability to multitask, and a strong sense of confidentiality and discretion. The ideal candidate will exhibit a friendly demeanor, possess excellent communication skills, and adapt quickly to various tasks in a dynamic work setting.


Responsibilities

  • Welcome visitors with a positive, friendly attitude and provide assistance as needed.
  • Manage the front desk by receiving, directing, and relaying phone calls efficiently.
  • Maintain security by following procedures, monitoring logbooks, and issuing visitor badges.
  • Schedule and confirm appointments while coordinating with other administrative support.
  • Keep the reception area tidy and presentable, with necessary stationery and materials.
  • Assist in event planning and coordination by providing administrative support.
  • Perform general clerical duties, including copying, faxing, and mailing documentation.
  • Handle inquiries from the public and clients via email, phone, and in person professionally.
  • Coordinate with the office management team to ensure facility maintenance requests are fulfilled.
  • Manage and sort incoming mail and packages, distributing them to the right departments.
  • Keep updated records of office expenses and costs for administrative activities.
  • Offer helpful support to administrative staff as and when required.

Requirements

  • High school diploma or equivalent, associates degree preferred in relevant field.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Strong communication and interpersonal skills, both verbal and written.
  • Proficiency with Microsoft Office Suite and office equipment like printers and fax machines.
  • Strong organizational and multitasking skills with attention to detail.
  • Customer service orientation with a friendly and professional demeanor.
  • Ability to manage sensitive and confidential information with integrity.
