Job Description

A receptionist serves as the initial point of contact for clients, visitors, and even employees, making them an essential part of any organization. They are responsible for presenting a professional image and ensuring the smooth operation of front-desk activities. As a receptionist, you'll be the face and voice representing the business, tasked with managing phone calls, greeting guests, and executing a variety of administrative tasks. You will need strong communication skills, a welcoming demeanor, and the ability to multitask efficiently. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location.
  • Answer, screen, and forward incoming phone calls promptly.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and accessing controls.
  • Order front office supplies and keep inventory of stock levels.
  • Update calendars and schedule meetings as required by staff members.
  • Coordinate with the administrative team to support company operations.
  • Provide clerical and administrative support to other departments when needed.
  • Handle emergencies in a calm and professional manner, following company protocols.

Requirements

  • High school diploma or equivalent qualification required.
  • Proven work experience as a receptionist or in a similar role.
  • Strong verbal and written communication skills in English.
  • Proficiency with office management software like MS Office and email systems.
  • Ability to maintain a professional appearance and demeanor at all times.
  • Excellent organizational skills and the ability to multitask efficiently.
  • Customer service attitude and a friendly disposition are crucial for success.
