Job Description

We are seeking an organized and proactive Personal Assistant to support our executive team. As a Personal Assistant, you will play a critical role in managing the day-to-day operations and provide dedicated support, including handling appointments, correspondence, and personal tasks for our executives. Your role will involve coordinating schedules, organizing meetings, and handling communications with precision, ensuring a seamless workflow for the executive. The ideal candidate is adaptive, detail-oriented, and possesses excellent organizational skills to thrive in a fast-paced environment. This position requires the ability to manage sensitive and complex issues with utmost confidentiality, acting as a reliable and trustworthy aide to senior executives.


Responsibilities

  • Coordinate executive schedules, making appointments and arranging meetings with stakeholders.
  • Organize and prioritize complex tasks efficiently, ensuring deadlines are met.
  • Manage incoming and outgoing communications on behalf of the executive.
  • Compile, prepare, and edit documents, reports, and presentations as needed.
  • Oversee travel arrangements, including booking flights and accommodations.
  • Handle confidential information with discretion and integrity at all times.
  • Maintain office organization by managing systems and procedures effectively.
  • Assist with personal tasks to enable executive focus on professional obligations.
  • Facilitate effective communication between the executive team and internal/external partners.
  • Monitor and respond to emails and phone calls in a timely manner.
  • Support executive in interpersonal communications, ensuring clarity and professionalism.
  • Prepare agendas and take detailed minutes during meetings, distributing them as required.

Requirements

  • Bachelor’s degree in Business Administration, Communication, or related field.
  • Proven experience as a Personal Assistant or similar administrative role.
  • Exceptional organizational skills and attention to detail in tasks.
  • Strong communication skills, both written and verbal, are essential.
  • Proficiency in Microsoft Office Suite and other office management tools.
  • Ability to multitask and prioritize tasks based on importance and deadlines.
  • Discretion and confidentiality are required due to dealing with sensitive information.
