Job Description

The Admin Executive – Administration plays a pivotal role in ensuring seamless operations within an organization by supporting various administrative functions. This role requires an individual who displays exceptional organizational skills and attention to detail, as well as the ability to manage office tasks efficiently. The Admin Executive will be responsible for coordinating administrative activities, supporting senior staff, and managing communication within the office. The ideal candidate is proactive, has excellent communication abilities, and can multitask effectively to contribute to the smooth running of daily operations and the organization's overall efficiency.


Responsibilities

  • Coordinate and oversee daily office operations to ensure workflow efficiency.
  • Manage communication within the office including phone calls, emails, and correspondence.
  • Assist in organizing meetings, preparing agendas, and taking meeting minutes as required.
  • Support senior staff with administrative duties such as scheduling and travel arrangements.
  • Manage office supplies inventory and place orders proactively to ensure availability.
  • Maintain digital and physical filing systems for easy retrieval of required information.
  • Assist in the preparation and processing of office documents including presentations and reports.
  • Coordinate with IT and other departments to resolve any administrative or technical issues.
  • Conduct research and compile data to support projects and decision-making processes.
  • Implement and maintain office policies and procedures to improve efficiency and professionalism.
  • Liaise with vendors and service providers to manage office-related services effectively.
  • Provide excellent customer service and support to clients, visitors, and employees.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience in an administrative or office management role.
  • Exceptional organizational and time management skills are essential.
  • Strong communication skills, both written and verbal communication.
  • Proficient in Microsoft Office Suite and basic office equipment use.
  • Ability to multitask and prioritize tasks efficiently in a fast-paced environment.
  • Strong problem-solving skills with attention to detail and accuracy.
  • Capable of working independently as well as part of a team effectively.
  • Discretion and confidentiality are crucial when handling sensitive information.
