Job Description

The Order Processing Coordinator plays a crucial role in driving the order fulfillment process across the organization. This position is responsible for ensuring orders from various sales channels are processed accurately, efficiently, and within the stipulated timelines. This includes handling customer orders, coordinating with various departments such as sales, shipping, and inventory regarding order status and shipment, and resolving any issues that may arise during the order process. The Order Processing Coordinator is also expected to maintain accurate records of orders, inventory, and customer information, ensuring the database systems are kept up-to-date. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment, contributing significantly to the customer satisfaction and operational efficiency of the company.


Responsibilities

  • Coordinate the accurate and timely processing of customer orders across all sales channels.
  • Liaise with shipping and logistics departments to ensure prompt and accurate order fulfillment.
  • Maintain and update order information in the database to reflect current processing status.
  • Resolve any discrepancies or issues encountered during the order processing cycle.
  • Collaborate with the sales team to address customer inquiries and provide order status updates.
  • Develop and implement procedures to improve order processing efficiency and accuracy.
  • Monitor inventory levels to ensure product availability and communicate shortages to relevant departments.
  • Prepare and distribute daily, weekly, and monthly reports on order metrics and performance.
  • Identify opportunities for process improvements and make recommendations to management.
  • Ensure compliance with company policies, procedures, and quality standards during order processing.
  • Provide training and support to new team members on order processing procedures.
  • Manage and address customer complaints or disputes regarding order processing effectively.

Requirements

  • Bachelor’s degree in business administration, supply chain, or a related field.
  • Previous experience in order processing or a similar coordination role is essential.
  • Proficient in Microsoft Office suite and experienced with order management systems.
  • Strong attention to detail and organizational skills with a focus on accuracy.
  • Excellent communication skills, both verbal and written, with a customer-focused approach.
  • Ability to multitask and prioritize workload effectively in a fast-paced environment.
  • Strong problem-solving skills and the ability to handle complex situations with professionalism.
  • Familiarity with inventory management and logistics processes is highly advantageous.
