An Event Hospitality Coordinator is instrumental in planning, organizing, and executing successful events, ensuring high-quality hospitality services are delivered to all attendees. This position requires a dynamic individual who can manage diverse tasks efficiently, from coordinating with clients to handling logistical aspects of events. The ideal candidate is detail-oriented, possesses excellent communication skills, and is adept at building strong relationships with vendors, staff members, and clients. Responsibilities

  • Coordinate all logistical aspects of events from start to finish efficiently.
  • Develop and manage event timelines to ensure deadlines are met timely.
  • Communicate with clients to understand their event needs and objectives.
  • Collaborate with vendors and service providers to plan event details effectively.
  • Arrange accommodations and travel plans for out-of-town guests attending events.
  • Oversee hospitality services to ensure high-quality experiences for all attendees.
  • Supervise on-site event staff and volunteers during event execution successfully.
  • Manage budgets, negotiate contracts, and ensure cost-effectiveness in expenses.
  • Provide post-event reports, feedback, and propose improvements for future events.
  • Ensure compliance with insurance, legal, health, and safety regulations during events.
  • Utilize event management software to track and organize event particulars effectively.
  • Resolve issues that arise and deal with complaints to maintain event quality.

Requirements

  • Proven experience in event planning, coordination, or a similar role for successful execution.
  • Strong organizational skills with the ability to handle multiple tasks concurrently.
  • Excellent verbal and written communication skills to interact with clients professionally.
  • Demonstrated ability to handle stressful situations with composure and efficiency.
  • Familiarity with event management software and basic budgeting principles.
  • Degree in Hospitality Management, Event Planning, Business, or a related field preferred.
  • Flexibility to work long hours, including evenings and weekends, as needed for events.
