Job Description

The Order Management Executive is a critical role within our organization, responsible for ensuring the accurate and timely processing of customer orders. This position serves as a bridge between our sales, logistics, and customer service teams to ensure seamless operations and customer satisfaction. You will be responsible for managing the entire order cycle from order entry to delivery, resolving any discrepancies, and ensuring compliance with company policies and procedures. An ideal candidate is detail-oriented, possesses excellent communication skills, and is adept at problem-solving to handle any challenges in the order process. This role is key to maintaining high levels of customer satisfaction and operational efficiency, thereby directly contributing to the company's bottom line and reputation.


Responsibilities

  • Process customer orders accurately and in a timely manner, ensuring all details are correct.
  • Coordinate with the sales team to verify order details and ensure client specifications are met.
  • Communicate with logistics to manage and resolve any shipping issues or delays promptly.
  • Maintain up-to-date records of all orders and customer interactions in the system.
  • Resolve customer inquiries and complaints regarding order issues, demonstrating high customer service standards.
  • Collaborate with inventory management to ensure product availability aligns with customer demands.
  • Generate and analyze order processing reports to identify trends and improve efficiency.
  • Ensure compliance with all company policies and industry regulations during order processing.
  • Work with finance to reconcile billing discrepancies and ensure accurate invoicing.
  • Proactively identify process improvements to enhance the customer order experience.
  • Provide training and support to junior staff members on order management processes.
  • Participate in cross-functional project teams to drive initiatives that benefit order management processes.

Requirements

  • Bachelor's degree in Business, Operations Management, or a related field preferred.
  • At least 2-3 years of experience in order management or a similar operational role.
  • Proficient in using ERP and CRM systems for order handling and customer relations.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Excellent verbal and written communication skills for effective client and team interaction.
  • Proven problem-solving skills with the ability to tackle challenging situations calmly.
  • Ability to work collaboratively in a fast-paced environment to meet deadlines efficiently.
