As a receptionist, you will be the first point of contact for our organization, playing an integral role in creating a welcoming atmosphere for clients and visitors. Your primary responsibility is to create a positive impression while efficiently managing incoming calls, visitor management, and scheduling. The ideal candidate possesses excellent communication skills, is adept at multitasking, and can thrive in a fast-paced environment. You should also have a friendly demeanor and the ability to work collaboratively with different departments to ensure smooth office operations. Prior experience in a similar role is highly desired, and a commitment to high-quality service is essential.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office premises.
  • Direct visitors to the appropriate person or department accurately and efficiently.
  • Answer, screen, and forward incoming phone calls with a polite and friendly demeanor.
  • Ensure reception area is tidy and presentable, equipped with all necessary materials.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries, keeping records updated.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Update calendars and schedule meetings, coordinating with all team members involved.
  • Keep detailed records of guest and visitor logs, updating them regularly.
  • Order front office supplies and keep an inventory of stock to ensure availability.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Collaborate with administrative teams to manage office operations effectively.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in using Microsoft Office Suite and general computer applications.
  • Professional attitude and appearance, with a focus on customer service excellence.
  • Strong written and verbal communication skills are essential for effective interactions.
  • Ability to be resourceful and proactive when issues arise or when handling queries.
  • Excellent organizational skills, with strong attention to detail in every task.
  • Multitasking and time-management skills, with the ability to prioritize tasks efficiently.
