Job Description

We are seeking a meticulous and highly organized Personal Assistant to support our executive team. The ideal candidate will possess exceptional communication skills, the ability to handle multiple tasks efficiently, and a proactive approach in anticipating needs. As a Personal Assistant, you will serve as the right hand to our leaders, managing their schedules, handling correspondence, and ensuring that every crucial detail is managed smoothly. This role requires a high level of discretion, as you will be exposed to sensitive information and will need to maintain confidentiality. Responsibilities

  • Manage and prioritize executive calendars, appointments, and travel arrangements with precision.
  • Coordinate and organize meetings, ensuring all necessary materials are prepared in advance.
  • Handle incoming and outgoing communications, including emails, calls, and correspondence.
  • Prepare and edit documents, reports, and presentations to support executive projects.
  • Assist with personal tasks and errands to ensure executives' personal workload is managed.
  • Conduct research and gather information to support decision-making processes.
  • Assist in the planning and execution of company events and meetings.
  • Track and manage expenses, preparing expense reports for reimbursement.
  • Maintain confidentiality and discretion concerning sensitive company and personal information.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Ensure office supplies and equipment are stocked and maintained efficiently.
  • Proactively identify areas for improvement and offer solutions for increased efficiency.

Requirements

  • Proven experience as a Personal Assistant or in a related administrative role.
  • Exceptional organizational and multitasking abilities, with keen attention to detail.
  • Excellent verbal and written communication skills are imperative.
  • Proficiency in office software such as Microsoft Office and Google Suite tools.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Strong problem-solving skills and the ability to work autonomously.
  • Flexibility to occasionally work outside normal business hours when necessary.
