The Front Desk Executive is a pivotal role within any organization, acting as the first point of contact for visitors and clients. Responsibilities

  • Greet and welcome guests promptly upon their arrival at the office.
  • Direct visitors to the appropriate person and office based on their needs.
  • Answer, screen, and forward incoming phone calls with a clear and pleasant tone.
  • Receive and sort daily mail, deliveries, and courier packages efficiently.
  • Maintain the reception area’s cleanliness and organization consistently each day.
  • Update calendars and schedule meetings as necessary for company management.
  • Coordinate front-desk activities, including distributing correspondence and redirecting calls.
  • Provide basic and accurate information in-person and via phone or email.
  • Ensure security by following procedures and controlling access via the reception desk.
  • Manage customer queries and resolve issues with a focus on customer satisfaction.
  • Assist with administrative tasks, such as photocopying, faxing, and filing documents.
  • Regularly check and restock office supplies to ensure an efficient operation.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and general computer literacy.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Professional attitude and appearance, with excellent interpersonal skills.
  • Strong written and verbal communication skills to interact effectively with clients.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Solid organizational skills with the ability to prioritize tasks effectively.
  • Customer service attitude with the capacity to build positive relationships.
