Responsibilities

  • Warmly greet visitors and assist them with their inquiries or directions.
  • Answer and direct phone calls to the appropriate departmental contacts promptly.
  • Maintain a tidy and organized reception area, ensuring brochures are up-to-date.
  • Coordinate with various departments for scheduling meetings and conference rooms.
  • Manage the distribution of incoming and outgoing mail and packages efficiently.
  • Assist clients and staff with requests, complaints, and inquiries in a courteous manner.
  • Keep records of visitor interactions and transactions, reporting details to management.
  • Monitor security by controlling access through the reception desk entry system.
  • Process and log daily deliveries including packages, mail, and signed documents.
  • Provide basic information to clients and visitors about the company and services.
  • Coordinate travel arrangements and set up meeting logistics as required.
  • Support administrative tasks and assist in various special projects as needed.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Strong verbal and written communication skills are essential for this role.
  • Must have excellent organizational skills and multitasking abilities.
  • Friendly and approachable demeanor with a customer-oriented approach.
  • Ability to handle stressful situations and problem-solve efficiently and effectively.
