Job Description

The Front Desk Receptionist plays an essential role as the first point of contact for visitors, clients, and employees in an organization. Responsible for managing the flow of people and ensuring a pleasant experience for everyone who enters the establishment, the Receptionist is key in creating a positive initial impression. This position offers a unique opportunity to interact with people from diverse backgrounds, providing exceptional customer service and administrative support. The ideal candidate will be approachable, organized, and capable of multitasking in a fast-paced environment. Their efforts greatly contribute to the smooth functioning of daily operations by coordinating communications and completing general office tasks.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly and politely.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide accurate information in-person and via phone/email.
  • Maintain office security by following safety procedures and controlling access.
  • Receive, sort, and distribute daily mail/deliveries efficiently.
  • Develop professional relationships with walk-in clients and staff members.
  • Supply basic and accurate information to customers when asked.
  • Schedule appointments, meetings, and other office events as required.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist with scheduling travel arrangements for senior executives when necessary.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Strong written and verbal communication skills are essential for this role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Professional attitude and appearance at all times is a must.
  • Ability to be resourceful and proactive when issues arise in the office.
  • Excellent organizational skills with an ability to prioritize tasks effectively.
  • Customer service attitude with the capacity to maintain confidentiality.
