Job Description

An Executive Assistant to the CEO plays a crucial role in the efficient management of the executive office. This position demands a high level of discretion, attention to detail, and the ability to work in a fast-paced environment. The Executive Assistant is responsible for managing the schedule of the CEO, preparing important documents, and facilitating communication within the company and with external partners. The ideal candidate should have exceptional organizational skills, be proactive, and possess the ability to manage multiple priorities simultaneously. This role requires strategic thinking to chase tasks efficiently and assure that the executive's time is optimized.


Responsibilities

  • Manage and organize the CEO’s calendar to optimize use of their time.
  • Coordinate meetings, appointments, and travel arrangements for the CEO.
  • Prepare agendas, reports, and presentations for executive meetings.
  • Act as a liaison between the CEO and other stakeholders, both internal and external.
  • Handle confidential information with a high level of integrity and discretion.
  • Respond to emails and phone calls to ensure timely communication for the CEO.
  • Assist in the planning and execution of company events and functions.
  • Conduct research and gather data needed for reports and presentations.
  • Track and follow up on various tasks delegated by the CEO for clarity and efficiency.
  • Ensure that the CEO is well-prepared for all meetings and conferences.
  • Review documents and communications before submission to the CEO for final approval.
  • Support special projects as assigned by the CEO to achieve strategic goals.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Proven experience as an executive assistant or in other secretarial positions.
  • Excellent knowledge of MS Office and office management software.
  • Strong written and verbal communication skills are essential for this role.
  • Exceptional organizational and time-management abilities are required.
  • Ability to multitask and prioritize tasks in a dynamic environment.
  • High degree of professionalism and personal integrity is mandatory.
