Job Description

A Billing Administrator plays a critical role in supporting the financial health of an organization by efficiently managing billing operations. This position is responsible for overseeing the entire billing process, ensuring accurate and timely invoice generation and distribution. The Billing Administrator is also tasked with maintaining customer account records, resolving billing discrepancies, and liaising with internal departments to streamline billing processes. This role demands a keen eye for detail, excellent organizational skills, and proficiency with accounting and billing software. The ability to communicate effectively with customers and team members is also vital for resolving issues and maintaining customer satisfaction. A Billing Administrator ensures that billing operations run smoothly and contribute to the organization’s financial stability and customer satisfaction goals.


Responsibilities

  • Generate and distribute accurate and timely invoices to customers regularly.
  • Maintain up-to-date customer account records, ensuring data accuracy and integrity.
  • Resolve any billing discrepancies in a timely and professional manner.
  • Collaborate with internal departments to ensure seamless billing operations and procedures.
  • Monitor accounts to identify outstanding debts and carry out collection activities.
  • Prepare and submit billing related reports to management as required.
  • Implement process improvements to enhance the efficiency of the billing cycle.
  • Ensure compliance with company policies and industry regulations regarding billing procedures.
  • Respond to customer inquiries related to billing and resolve complaints effectively.
  • Assist with the monthly financial close process in relation to billing matters.
  • Train and mentor new staff on billing procedures and software applications.
  • Evaluate and improve billing-related systems and software for better performance.

Requirements

  • Bachelor’s degree in finance, accounting, business administration, or a related field.
  • Proven experience as a billing administrator or in a similar financial role.
  • Proficiency with accounting and billing software such as QuickBooks or SAP.
  • Strong organizational skills and attention to detail are essential for accuracy.
  • Excellent communication skills for effective collaboration with team members and customers.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Familiarity with industry regulations and compliance standards in billing practices.
