Job Description

The role of a Receptionist is integral to the smooth functioning of an organization. This front-desk position serves as the first point of contact for visitors and callers, offering a warm and professional welcome. A Receptionist is responsible for managing the flow of incoming phone calls, responding to inquiries, and providing accurate information about the organization. Additionally, the position involves organizing meetings and ensuring that the reception area is tidy and presentable. The Receptionist helps create a positive image of the company and supports day-to-day administrative operations. This position requires excellent communication skills, organizational abilities, and a professional demeanor to ensure that internal and external communications are handled efficiently.


Responsibilities

  • Greet and welcome visitors in a warm and professional manner upon arrival.
  • Manage and redirect incoming phone calls to the appropriate departments or personnel.
  • Maintain and organize the reception area to ensure it is tidy and presentable at all times.
  • Assist in scheduling and coordinating meetings for staff within the organization.
  • Provide accurate information to inquiries made both in person and over the phone.
  • Receive, sort, and distribute daily mail and deliveries efficiently and promptly.
  • Maintain security by following established procedures and monitoring visitor logbooks.
  • Handle administrative tasks, such as filing, photocopying, and data entry, as needed.
  • Assist with the management of office supplies and place orders when inventory is low.
  • Coordinate with building management for maintenance and facility needs.
  • Update calendars, schedule appointments, and manage conference room bookings.
  • Ensure compliance with company policies and procedures in all tasks and interactions.

Requirements

  • High school diploma or equivalent; additional qualification is a plus.
  • Proven experience as a receptionist, front desk officer, or a similar role.
  • Strong verbal and written communication skills in English are essential.
  • Excellent organizational and multitasking abilities to manage busy workloads.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) applications.
  • Professional appearance and a positive attitude in a high-pressure environment.
  • Ability to handle sensitive information with confidentiality and professionalism.
