The Tour Operations Executive plays a crucial role within the travel and tourism sector, ensuring the seamless execution of travel plans and itineraries. This dynamic position requires a detail-oriented and customer-focused professional who can manage various tasks simultaneously. The Tour Operations Executive is responsible for coordinating all elements of tour operations from booking through to trip completion, satisfying client needs, managing partnerships with service providers, and working closely with travel agents and customers. This role demands excellent organizational skills, a deep understanding of the tourism industry, and the ability to work effectively under pressure. Successful candidates will display strong interpersonal skills to facilitate smooth communication and collaboration, ensuring that travelers have an outstanding experience throughout their journey.


Responsibilities

  • Liaise with travel agents for comprehensive tour planning and guest satisfaction.
  • Coordinate with transport providers to ensure timely logistic arrangements for tours.
  • Develop and customize itineraries based on client preferences and requirements.
  • Handle bookings, confirmations, and amendments with a high degree of accuracy.
  • Negotiate rates with vendors and conduct cost analyses to maintain budget alignment.
  • Manage client payments and oversee financial aspects including invoicing and billing.
  • Maintain updated records of all travel arrangements and documented agreements.
  • Ensure compliance with local and international tourism regulations and policies.
  • Resolve unforeseen issues and provide real-time support during traveler emergencies.
  • Prepare detailed reports and updates to management on tour performance metrics.
  • Collaborate with marketing teams to promote tour offerings and company services.
  • Gather client feedback post-tour to enhance future travel experience deliverables.

Requirements

  • Bachelor’s degree in Tourism, Hospitality, Business, or a related field preferred.
  • At least three years of experience in a travel agency or touring company.
  • Strong knowledge and understanding of major travel software systems is essential.
  • Excellent organizational and multitasking skills with keen attention to detail.
  • Excellent communication skills to interact with vendors, clients, and internal teams.
  • Ability to work under pressure and manage complex situations effectively.
  • Proficiency in English and other languages is desirable for global client interactions.
