Job Description

The Front Desk Receptionist serves as the first point of contact for visitors, clients, and employees entering the office. This role requires a professional and welcoming demeanor, excellent organizational skills, and the ability to manage multiple tasks efficiently. As the face of the company, the Front Desk Receptionist is responsible for maintaining a clean and organized reception area, ensuring that all inquiries are handled swiftly and directing calls and visitors appropriately. The ideal candidate will have outstanding communication skills and be able to perform administrative duties while handling sensitive and confidential information with professionalism. This is a vital role in creating a positive first impression and ensuring smooth operations within the company.


Responsibilities

  • Welcome and greet all visitors with a warm and professional demeanor.
  • Answer, screen, and forward incoming phone calls accurately and efficiently.
  • Maintain a clean, organized, and appealing reception area at all times.
  • Prepare and manage correspondence, reports, and documents as needed.
  • Schedule appointments and manage calendars for various departments efficiently.
  • Coordinate and organize conference room bookings and other meeting spaces.
  • Handle sensitive or confidential information with discretion and professionalism.
  • Assist with clerical tasks such as filing, photocopying, and data entry tasks.
  • Provide basic and accurate information in person and via phone/email.
  • Receive and sort daily mail and deliveries; manage courier services.
  • Support staff with various administrative tasks and projects as assigned.
  • Coordinate with building management and external vendors for maintenance issues.

Requirements

  • High school diploma or equivalent with relevant administrative experience.
  • Proficiency in Microsoft Office Suite and other basic computer operations.
  • Excellent verbal and written communication skills are mandatory.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Professional attitude and appearance with a focus on customer service.
  • Ability to maintain composure and remain polite in high-pressure situations.
  • Prior experience in a receptionist or administrative role is a plus.
