Job Description

The Admin Officer plays a pivotal role in ensuring the smooth operation and management of administrative tasks within the organization. This position demands a highly organized individual capable of handling multiple tasks efficiently while maintaining a keen eye for detail. The Admin Officer will be responsible for coordinating and overseeing the daily operations that directly impact the company’s productivity and efficiency. A core component of the role involves managing correspondence, organizing meetings, and providing crucial support to various departments. As the backbone of office operations, the Admin Officer will be instrumental in maintaining a productive office environment, crafting and implementing administrative policies, and liaising with internal and external stakeholders. Responsibilities

  • Manage and oversee the day-to-day administrative tasks of the office.
  • Coordinate and schedule meetings, appointments, and conference calls as needed.
  • Draft, edit, and distribute official correspondence, reports, and other documents.
  • Maintain organized and accurate filing systems for company records and documents.
  • Manage office supplies inventory and place orders as necessary to ensure sustainability.
  • Support the finance department by processing expense reports and invoices dutifully.
  • Assist in the preparation and organization of reports and presentations for meetings.
  • Implement and uphold office policies, standards, and procedures effectively.
  • Handle confidential information with discretion and integrity at all times.
  • Ensure effective communication within and between departments for smooth workflow.
  • Liaise with vendors and contractors to facilitate maintenance and service tasks.
  • Provide administrative support to senior management and other departments as required.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Three to five years of proven experience in an administrative or office support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking abilities to handle competing priorities.
  • Outstanding communication and interpersonal skills for effective collaboration.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong problem-solving skills and adaptability in a fast-paced work environment.
