The role of an Admin and Front Office Executive is pivotal in ensuring that office operations run smoothly and efficiently. Responsibilities

  • Greet and direct visitors with a professional and welcoming attitude.
  • Manage incoming calls and correspondence, directing them to appropriate departments.
  • Maintain the reception area to ensure a neat and tidy environment.
  • Organize and schedule meetings, appointments, and conference room bookings.
  • Coordinate office activities and operations to ensure efficiency and adherence to company policies.
  • Manage inventory of office supplies and place orders when necessary.
  • Assist in the preparation of reports, presentations, and data entry as required.
  • Handle and distribute incoming and outgoing mail, including packages and deliveries.
  • Support administrative needs of the team, including filing, photocopying, and scanning documents.
  • Ensure security protocols are followed by managing access cards for staff and visitors.
  • Coordinate travel arrangements and accommodations for company executives and employees.
  • Assist with HR-related tasks such as onboarding and maintaining employee records.

Requirements

  • Proven work experience in an administrative or front office role.
  • Strong verbal and written communication skills are essential for this role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent organizational and multitasking abilities in a fast-paced environment.
  • Ability to work independently and collaboratively with different teams.
  • High school diploma or GED equivalent; additional qualification is a plus.
  • Professional appearance and attitude, with strong customer service orientation.
