Job Description

The Front Desk Executive plays a pivotal role in ensuring an efficient, welcoming, and operationally smooth front office environment. Serving as the first point of contact for visitors and clients, the Front Desk Executive is responsible for creating a professional and hospitable atmosphere. Not only do they greet guests as they enter the facility, but they also manage a variety of front desk activities such as answering telephones, handling inquiries, and providing administrative support across the organization. Ideal candidates thrive in fast-paced environments, possess excellent communication skills, and display a high degree of professionalism in handling both visitors' and organizational queries. Their ability to multitask and maintain a polished and organized presence is crucial in promoting the company's branding and image.


Responsibilities

  • Greet and welcome guests as they arrive at the front desk.
  • Answer, screen, and forward incoming phone calls effectively and courteously.
  • Provide accurate information to guests and answer any inquiries they might have.
  • Maintain the front desk area in a tidy and presentable state at all times.
  • Coordinate and manage appointments and bookings for meeting rooms as needed.
  • Receive, sort, and distribute daily mail and deliveries to appropriate departments.
  • Assist in security by verifying visitor credentials and issuing visitor passes.
  • Handle basic administrative tasks including filing, photocopying, and data entry.
  • Manage and maintain office supplies inventory and place orders when necessary.
  • Provide administrative support to the management team and staff when required.
  • Act as a liaison between the company and external clients or visitors.
  • Ensure compliance with all safety, health, and company procedures and policies.

Requirements

  • High school diploma or equivalent is required; college degree preferred.
  • Proven experience as a Front Desk Executive or similar role.
  • Excellent organizational and multitasking abilities in a busy office setting.
  • Strong written and verbal communication skills with attention to detail.
  • Proficient in Microsoft Office Suite and general office equipment operation.
  • Exceptional customer service attitude with a professional phone demeanor.
  • Ability to handle stressful situations with tact and efficiency.
