Job Description

The role of a Document Controller is crucial in ensuring the seamless management and organization of company documents and records. As a Document Controller, you will be responsible for controlling the numbering, filing, sorting, and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments. With attention to detail and organizational skills, you will manage the flow of documents, ensuring that they are categorized and easily accessible. Working closely with project managers, engineers, and other staff, you will ensure that all documentation is complete, up to date, and in compliance with regulations and company standards. This position is vital for maintaining operational efficiency and supporting project execution through effective document management.


Responsibilities

  • Establish and control document management procedures in compliance with company standards.
  • Ensure documents are stored in a secure and easily retrievable manner.
  • Manage the distribution of documents to appropriate personnel and departments efficiently.
  • Coordinate with project teams to ensure documentation is complete and current.
  • Maintain a register of documents and track revisions, updates, and archived versions.
  • Facilitate audits by providing accurate document access and retrieval upon request.
  • Implement and manage a document control system to enhance workflow and efficiency.
  • Collaborate with IT for the integration and support of document management software.
  • Train staff on document control processes and the use of related systems.
  • Review documents for compliance with company policies and regulatory standards.
  • Prepare reports on documentation statuses and distribute them to management as necessary.
  • Maintain confidentiality and security of sensitive and proprietary documents.

Requirements

  • Bachelor’s degree in Business Administration, or a related field preferred.
  • Minimum of 3 years of experience in document control or similar roles.
  • Proficient in document management software and Microsoft Office Suite.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills for cross-departmental collaboration and training.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Experience in a high-paced environment handling multiple projects simultaneously.
