Job Description

The Payroll Specialist / Payroll Manager is a critical role within the finance and human resources function of an organization, responsible for overseeing and managing the company's payroll functions. This position ensures employees are paid accurately and on time, while also ensuring compliance with all relevant tax regulations and employment laws. The Payroll Specialist / Manager must possess strong analytical and problem-solving skills, with a keen attention to detail to maintain accurate payroll records. They are tasked with developing and implementing payroll processes, handling payroll discrepancies, and collaborating with other departments such as HR and finance. This role requires excellent communication skills as the Payroll Specialist will often liaise with employees to address payroll queries and provide guidance on payroll-related matters. An ideal candidate for this position will have extensive knowledge and experience in payroll administration, efficient time management capabilities, and the ability to work well under pressure to meet deadlines.


Responsibilities

  • Accurately calculate and process payroll for all employees on a timely basis.
  • Ensure compliance with federal, state, and local payroll tax regulations.
  • Investigate and resolve payroll discrepancies and address employee payroll queries.
  • Maintain, update, and ensure accuracy of payroll records and documentation.
  • Develop and implement payroll policies and procedures to streamline operations.
  • Collaborate with HR and Finance teams to ensure alignment on payroll processes.
  • Prepare and submit payroll reports for senior management and audits.
  • Manage payroll software systems, including troubleshooting and updates.
  • Ensure accurate calculation and issuance of employee's earnings and deductions.
  • Oversee the disbursement of payroll payments through direct deposits or checks.
  • Provide training and support to junior payroll staff, if applicable.
  • Stay abreast of new trends and best practices in payroll and related regulations.

Requirements

  • Bachelor's degree in Accounting, Finance, or related field preferred.
  • Proven experience as a Payroll Specialist or Payroll Manager in a similar role.
  • Strong understanding of payroll processes and relevant tax regulations.
  • Proficiency in payroll software and Microsoft Office Suite is essential.
  • Excellent organizational and time-management skills to meet strict deadlines.
  • Superior attention to detail and ability to work with confidential information.
  • Effective communication skills for interacting with employees and management.
