Job Description

The role of Executive Assistant to the CEO is a pivotal one in ensuring the smooth operation of high-level executive functions and activities within the organization. The candidate will serve as the right-hand to the CEO, providing invaluable support, maintaining organizational flow, and enhancing executive effectiveness. This position demands a high level of confidentiality, exceptional organizational skills, and the ability to manage complex schedules and communication channels. The ideal candidate will be proactive, detail-oriented, and adept at multitasking. They will also possess excellent communication and interpersonal skills, enabling them to liaise effectively with a wide range of stakeholders. Responsibilities

  • Manage and prioritize the CEO's multiple and complex calendar appointments efficiently.
  • Coordinate travel arrangements including flights, accommodation, and itinerary development.
  • Prepare and edit correspondence, communications, presentations, and other documents as required.
  • Conduct research and compile data to inform executive discussions and decision-making processes.
  • Take responsibility for the preparation and distribution of meeting agendas and minutes.
  • Assist in the creation and management of project timelines and deliverables.
  • Facilitate communication between the CEO and various internal and external stakeholders.
  • Manage incoming and outgoing communication, ensuring timely responses to critical queries.
  • Liaise with board members and senior management for scheduled meetings and executive functions.
  • Develop and maintain a systematic filing system for critical executive documents and records.
  • Monitor and manage office expenses and budgets pertinent to the executive office.
  • Act as a gatekeeper by prioritizing executive time, handling requests with discretion.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field required.
  • Minimum of 5 years of experience in an executive assistant role supporting C-level executives.
  • Exceptional organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication skills, with experience drafting high-level documents.
  • Strong proficiency in Microsoft Office Suite and other relevant office software programs.
  • Ability to maintain discretion and confidentiality with sensitive organizational information.
  • Demonstrated ability to prioritize tasks and manage multiple assignments simultaneously.
