Job Description

The Receptionist plays a vital role as the face of the company, being the first point of contact for clients, visitors, and employees alike. This role requires a professional demeanor and excellent interpersonal skills to ensure a welcoming atmosphere for all who interact with the organization. The Receptionist is responsible for managing the front desk operations, handling inquiries, directing visitor traffic, and managing correspondence in a timely and efficient manner. This position demands strong organizational abilities and attention to detail to maintain the smooth operation of the reception area, contribute to office management, and support company staff as needed. The ideal candidate will be proactive, approachable, and have the ability to multitask in a dynamic, fast-paced environment.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office in a timely manner.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
  • Receive, sort, and distribute daily mail and deliveries promptly and accurately.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings as required by senior staff members.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Manage the inventory of office supplies and place orders when necessary.
  • Assist in the organization and coordination of company events and meetings.
  • Provide basic and accurate information in-person and via phone/email.
  • Support HR and administrative tasks, including assistance with onboarding new employees.

Requirements

  • Previous experience as a Receptionist or in a similar role is preferred.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent written and verbal communication skills in a professional setting.
  • Strong organizational skills with the ability to multitask effectively.
  • Customer-service orientation and strong interpersonal abilities are essential.
  • High school diploma; additional certification in Office Management is a plus.
  • Ability to maintain a positive and professional demeanor under pressure.
