Job Description

The role of a receptionist is a cornerstone for most organizations, serving as the front-line ambassador to all visitors and callers. This position is crucial, as the receptionist is often the first contact a customer or client will have with the company, marking their initial impression of the organization's brand and professionalism. A successful receptionist must embody a high degree of professionalism, courtesy, and adaptability. They are responsible for managing a wide range of administrative tasks to ensure the smooth operation of daily activities within the office. This position requires excellent communication skills, both verbal and written, a keen ability to prioritize tasks and manage time effectively, and a good understanding of office management procedures. The ideal candidate will have a friendly demeanor, meticulous attention to detail, and the ability to multitask in a fast-paced environment.


Responsibilities

  • Greet and welcome all visitors with a positive and helpful attitude.
  • Answer, screen, and transfer inbound phone calls efficiently and courteously.
  • Maintain reception area appearance by organizing and tidying as needed.
  • Receive, sort, and distribute daily mail and deliveries in a timely manner.
  • Assist in scheduling meetings and appointments and managing conference rooms.
  • Operate standard office equipment on a regular basis, including printers and fax machines.
  • Assist in preparing and editing correspondence, reports, and presentations as required.
  • Ensure office security by following safety procedures and controlling access via reception desk.
  • Provide basic and accurate information in-person and via phone/email to clients and visitors.
  • Manage the inventory of office supplies and place orders as necessary.
  • Support other administrative staff with various tasks as needed or assigned.
  • Coordinate with facility management and vendors for necessary office repairs and event preparations.

Requirements

  • High school diploma or equivalent with relevant work experience preferred.
  • Proven experience as a receptionist or in a similar customer service role is essential.
  • Proficient in Microsoft Office Suite with excellent typing and data entry skills.
  • Strong communication skills with the ability to handle challenging situations professionally.
  • Exceptional organizational skills with an ability to prioritize and multitask effectively.
  • Customer-service oriented with a friendly and professional demeanor at all times.
  • Previous experience handling a switchboard or multi-line phone system is advantageous.
