Job Description

A Payroll Executive is a crucial part of the finance and human resources departments, responsible for managing and overseeing the entire payroll process to ensure that employees receive their correct wages on time. This role involves maintaining employee records, computing wages and deductions, and ensuring compliance with all governmental regulations related to payroll. A Payroll Executive needs to be detail-oriented, possess strong analytical skills, and capable of working under tight deadlines. They must be proficient in payroll software and have a deep understanding of tax regulations and labor laws. This role also demands excellent communication skills, as the Payroll Executive interacts regularly with accounting staff, management, and employees to resolve payroll-related queries and issues.


Responsibilities

  • Managing and processing the organization's payroll activities in a timely manner.
  • Calculating salaries, overtime, bonuses, and deductions accurately for all employees.
  • Ensuring compliance with local, state, and federal tax regulations and laws.
  • Maintaining up-to-date and accurate payroll records for all employees.
  • Handling and resolving payroll discrepancies and issues efficiently.
  • Coordinating with HR for new hire onboarding and payroll setup.
  • Preparing and distributing detailed payroll reports for management review.
  • Processing and submitting necessary paperwork for employee benefits and deductions.
  • Assisting in year-end audits and preparing reports for financial officers.
  • Implementing payroll best practices and suggesting process improvements.
  • Ensuring confidentiality of employee payroll information at all times.
  • Liaising with the IT department to troubleshoot payroll system issues.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field preferred.
  • Proven experience as a Payroll Executive or in a similar role.
  • Thorough understanding of current payroll policies, regulations, and laws.
  • Proficiency in payroll software, such as ADP, Paychex, or Kronos.
  • Strong numerical aptitude and attention to detail required.
  • Excellent organizational and time management skills needed.
  • Strong communication skills for interacting with various departments.
