Job Description

The Event Hospitality Coordinator is a critical role within the event planning and management team, responsible for orchestrating seamless hospitality experiences during events. This position sits at the intersection of event management and customer service, ensuring guests have memorable and positive interactions throughout the duration of the event. The ideal candidate is detail-oriented, with a knack for multitasking in fast-paced environments. They must possess excellent communication and organizational skills to manage a range of responsibilities effectively, from coordinating with vendors to managing guest inquiries. As an Event Hospitality Coordinator, you will work closely with event organizers, service providers, and clients to deliver successful events that meet or exceed expectations.


Responsibilities

  • Coordinate with event planners to understand client hospitality requirements and expectations.
  • Manage guest lists and ensure all attendees receive necessary event materials and information.
  • Oversee the setup of hospitality areas, ensuring they meet established standards and client specifications.
  • Coordinate with catering services to ensure timely and quality food and beverage delivery.
  • Supervise the registration process and oversee guest accommodations and travel arrangements.
  • Collaborate with security teams to ensure guest safety and manage any potential issues.
  • Address and resolve any guest complaints or issues in a timely, professional manner.
  • Maintain strong relationships with vendors and negotiate contracts and pricing as needed.
  • Provide support during the event as needed, including assistance in various hospitality services.
  • Ensure clear communication among all event staff and hospitality partners.
  • Conduct post-event evaluations to improve future events and address areas for improvement.
  • Manage budgeting and logistical details related to hospitality and guest services.

Requirements

  • Bachelor’s degree in hospitality management, event planning, or a related field.
  • Minimum of 3 years’ experience in hospitality or event coordination.
  • Excellent communication skills, both written and verbal, are essential.
  • Strong organizational and multitasking skills, with the ability to handle pressure.
  • Proven ability to work well independently and within a team environment.
  • Proficiency in event management software and Microsoft Office Suite.
  • Willingness to work weekends and evenings as required, based on event schedules.
