Job Description

The role of Executive Assistant to the CEO is a pivotal one within any organization, providing critical support to the highest executive and acting as a point of contact both internally and externally. This position requires someone who is exceptionally organized, proactive, and capable of handling a wide range of administrative and executive support-related tasks. The Executive Assistant to the CEO must be able to work independently with minimal supervision and must be able to manage multiple priorities, exercise sound judgment, and maintain strict confidentiality. This is more than just a traditional support role; it is an opportunity to influence and contribute to key decisions and initiatives that affect the entire organization. The ideal candidate will have excellent communication and organizational skills and will thrive in a fast-paced, dynamic environment.


Responsibilities

  • Manage and maintain the CEO’s schedule, including appointments, meetings, and travel arrangements.
  • Prepare meeting materials, take minutes, and follow up on action items for executive-level meetings.
  • Serve as the primary point of contact between the CEO and internal and external stakeholders.
  • Coordinate and organize logistics for executive and board meetings or special events.
  • Handle confidential information with the utmost discretion and integrity.
  • Draft and edit high-level correspondence, reports, and presentations for the CEO.
  • Conduct research and provide recommendations to support strategic decision-making.
  • Assist with the preparation and management of the executive’s budget and expenses.
  • Ensure timely and accurate communication flows across different departments and offices.
  • Oversee projects and initiatives, ensuring deadlines and goals are met efficiently.
  • Develop and maintain relationships with key contacts to support the CEO’s objectives.
  • Provide strategic assistance in developing and launching organizational policies and initiatives.

Requirements

  • Bachelor's degree in Business Administration, Communication, or related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or similar role.
  • Exceptional organizational and time-management skills are essential for success.
  • Strong verbal and written communication skills, including proficiency in English.
  • Ability to manage multiple priorities in a fast-paced, dynamic environment effectively.
  • High proficiency in using office software such as Microsoft Office and Google Workspace.
  • Strong attention to detail and the ability to prioritize tasks and meet deadlines.
