Job Description

The Office Administrator plays a pivotal role in the smooth operation of our office, ensuring all administrative activities are executed efficiently and effectively. This individual is responsible for managing office communications, coordinating office activities, and maintaining an organized and welcoming environment for staff and clients. The ideal candidate will possess excellent organizational and communication skills with a strong attention to detail. They should be able to multitask, prioritize workloads, and work independently or as part of a team. Our Office Administrator will be the point of contact for internal and external communications, and will also support various departments throughout the company by managing resources, scheduling meetings, and handling inquiries.


Responsibilities

  • Coordinate and oversee daily office operations and administrative procedures.
  • Answer and direct phone calls, emails, and other forms of correspondence.
  • Organize and schedule appointments and meetings for management and staff.
  • Maintain office supplies inventory and place orders as needed in a timely manner.
  • Ensure all office equipment is maintained and serviced regularly to function properly.
  • Prepare and distribute meeting agendas, minutes, and reports as required.
  • Foster a positive and productive work environment for staff and visitors.
  • Manage office budgets and track expenses to support financial processes.
  • Process incoming and outgoing mail and courier shipments daily.
  • Assist with the onboarding process for new employees, including orientation schedules.
  • Ensure office compliance with health and safety regulations and standards.
  • Collaborate with IT department for office equipment troubleshooting and support.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • Proven experience in an administrative or office management role required.
  • Excellent verbal and written communication skills essential for the role.
  • Strong organizational skills with the ability to multitask efficiently.
  • Proficiency with Microsoft Office Suite and other relevant software applications.
  • Ability to work independently and effectively manage time and priorities.
  • Familiarity with office machines and basic troubleshooting techniques.
