A Front Office Receptionist is the first point of contact between a company and its visitors, representing the face of the organization. Responsible for greeting visitors, managing calls, and handling inquiries efficiently and courteously, the Front Office Receptionist is crucial for creating a welcoming atmosphere. They play a pivotal role in upholding the company’s image by ensuring professional front desk operations. Responsibilities

  • Warmly greet and welcome visitors as they arrive at the reception area.
  • Efficiently handle incoming calls, redirecting them to appropriate departments or personnel.
  • Maintain and organize the front office area to ensure a clean, tidy presentation.
  • Provide accurate information regarding company services, location, and general inquiries.
  • Coordinate with security to monitor guest registration and access to facilities.
  • Assist in scheduling meetings and managing appointments for executives and staff.
  • Facilitate communication within the office by distributing mail and messages timely.
  • Ensure all visitors sign in and adhere to security protocols set by the company.
  • Keep an updated directory of internal contacts to assist in routing communications effectively.
  • Support administrative functions, such as data entry, filing, and basic bookkeeping tasks.
  • Coordinate with facilities management for maintenance and repair requests in the reception area.
  • Assist with special projects and events as needed for the front office operations.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven experience as a receptionist or in a related customer service role.
  • Excellent verbal and written communication skills in English.
  • Proficient in Microsoft Office Suite and basic office equipment operation.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Professional appearance and a pleasant, welcoming demeanor.
  • Ability to handle sensitive information with confidentiality and discretion.
