Job Description

The Front Desk Receptionist is crucial in maintaining the smooth functioning of the front office while ensuring all visitors receive prompt and courteous service. As the first point of contact, the receptionist is responsible for creating a welcoming environment, handling incoming inquiries, and managing numerous office tasks efficiently. Excellent communication skills, a professional demeanor, and the capability to multi-task are essential qualities. The position requires close coordination with other departments to ensure seamless operations. This role also involves administrative support duties that contribute to maintaining a productive and harmonious workplace. Responsibilities

  • Greet visitors warmly and ensure they feel welcomed at the front desk.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive and sort daily mail deliveries and courier distributions efficiently.
  • Maintain front desk security by following safety procedures and controlling access.
  • Update calendars, schedule meetings, and manage conference room bookings.
  • Assist colleagues with administrative tasks, helping maintain office operations.
  • Handle inventory and ordering of office supplies, ensuring adequate stock levels.
  • Manage visitor logs, badges, and sign-in procedures accurately and discreetly.
  • Carry out general clerical duties such as photocopying, scanning, and filing.
  • Coordinate with other departments to ensure smooth workflow and information flow.
  • Address incoming emails and correspondences promptly and proficiently.

Requirements

  • Proven experience as a front desk receptionist or a similar role preferred.
  • Proficiency in Microsoft Office applications, including Word and Excel programs.
  • Outstanding communication skills and a professional appearance are essential.
  • Ability to be resourceful and proactive when issues arise in the office.
  • Excellent organizational skills with a strong attention to detail a must.
  • Flexibility to adapt in a dynamic and fast-paced work environment is essential.
  • High school diploma or equivalent required; additional qualifications preferred.
