The role of an Admin Assistant is pivotal to the smooth functioning of any office environment. As an Admin Assistant, you will be at the heart of our business operations, tasked with providing administrative support to ensure that all office functions proceed efficiently. You will be responsible for coordinating various tasks, facilitating communications, and managing daily office tasks that contribute to the overall productivity of the team. Responsibilities

  • Provide administrative support to ensure efficient office operations daily.
  • Answer and direct all incoming phone calls to the appropriate personnel.
  • Organize and schedule appointments with a focus on logistical efficiency.
  • Assist in preparing regularly scheduled reports and documentation.
  • Develop and maintain a filing system for easy document retrieval.
  • Order office supplies, ensuring stock levels remain adequate for operations.
  • Book travel arrangements and manage meeting logistics and itineraries.
  • Produce and distribute correspondence memos, letters, and forms professionally.
  • Coordinate office procedures and provide logistical support for events.
  • Maintain confidentiality of sensitive information and organizational activities.
  • Provide information by answering questions and requests from stakeholders.
  • Handle billing and invoicing as needed, maintaining accurate financial records.

Requirements

  • Proven experience as an Administrative Assistant or Office Admin Assistant.
  • Proficiency in Microsoft Office and other relevant office management tools.
  • Excellent written and verbal communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Attention to detail and problem-solving skills are a must.
  • High School degree; additional qualification as an Administrative Assistant is a plus.
  • Ability to work independently and prioritize tasks efficiently in a fast-paced setting.
