About The Role
We are seeking a detail-oriented and proactive Operations Executives to support our global government services team in executing and coordinating port operations. The ideal candidate will bring a structured mindset, strong analytical skills, and the ability to thrive in a dynamic, fast-paced maritime environment
Key Responsibilities :
- Upon receipt of the enquiry, acknowledge the same, further generate PDA and forward the same along with the port and other related information to the Principal for their ready perusal.
- Follow up with the principal for the agency appointment upon sending the PDA.
- Upon receipt of the appointment, coordinate with the vessel and provide it with all pre-arrival requirements and port information for a smooth turnaround of the vessel.
- Further liaise with port authorities for arranging berthing, discharging/loading of cargo.
- Request for pre-funding as per the PDA.
- In case the total expenses for the vessel call are more than the pre-funding received, then request for balance / outstanding funds from the principal.
- Upon sailing of the vessel, follow up with port authorities and other suppliers for invoices related to the particular vessel call in order to expedite file closing and generate the final DA.
- Arrange all vessel requirements in accordance with QMS, following local rules & regulations, thus rendering trouble-free services and complete satisfaction of clients/principals.
- Opening and updating of vessel files in ONEDA / OPTIC to finalisation
- Coordinating with the concerned and the Courier Company for proper dispatch of vessel/cargo-related documents, mails, bunker oil samples, etc., to the destination.
- Coordinating for arranging the supply of fresh water, supplies, provisions, bunkers etc.
- Arranging garbage skips, removal of dirty black water, and sludge according to local regulations
- Timely dispatch of arrival & sailing reports.
- Smooth flow of day-to-day operations.
- Vessel clearances – Inward / Outward. Working as an authorised PRO as and when required.
- Customs / Coast Guard / Immigration formalities
- Liaison with principal/crew manning agencies for proper documentation required in applying visa
- Forwarding Ok To Board to the concerned airlines
- Arranging meet & greet, transportation, accommodation, etc.
- Coordinate with travel agencies for the repatriation of crew.
- In case of medical attention requirement, coordinate with the hospital for arranging a doctor’s
- appointment, attendance, and service, including hospitalisation/ ambulation, etc.
