About the Job:

An opportunity has arisen for a Senior Executive Facility Management to join Dubai Holding Asset Management. The main duties and responsibilities of this role include:

The role holder is responsible for maintaining the asset inventory database to ensure that building operational data is collected relating to master developers’ assets and private investors’ assets within TECOM, tracking fit-out projects and ongoing changes made to TECOM assets, and validation of property units’ leasable area.


    • Manage and control processes and procedures related to TECOM leasable units such as existing property unit’s category change, new unit creation, taking over new buildings, and coordinating with relevant stakeholders to verify the construction as-built drawings and updated building drawings, upgrade the existing database / CRM.
    • Manage and control processes related to the inventory management of properties, property units, and their classifications.
    • Oversee the CAD function to ensure that FM services have accurate and complete details on engineering drawings, standards, and specifications.
    • Responsible for the timely and accurate CRM system data input which includes CAD drawings, completion certificates, update unit fit-out status, DEWA / electrical load details, unit categories details, etc.
    • Identify process gaps and opportunities for process enhancement/automation/self-service and work with Group IT to improve systems accordingly.
    • Provide CRM data and reports as required on a regular or ad-hoc basis. Prepare dashboards and presentations based on CRM data as necessary.
    • Coordinate with Facilities management Operation team and conduct the required feasibility study for property unit category change, merging or splitting of property units and ensure the same updated up-date CRM data.
    • Conduct site visits to measure the area of property units, validate the property unit area and update CRM as and when requested.  Assign a third-party surveyor to carry out area measurements and coordinate with DDA for obtaining stamped drawings.
    • Carry out area validation as per internal stakeholders’ requests.  Review and approve the requests on CRM related to Property Unit Takeover / Handover.
    • Coordinate with the Facilities management Operation team and compile the monthly utility consumption.  Compile dashboard reports based on a year-on-year comparison of utility consumptions.   Identify worst-performing utility accounts and develop a resolution game plan for the same. Maintain utility tracker, dashboard, and utility platform.  Develop monthly management reports for residential, retail, and commercial verticals of TECOM.  Play an active role in managing the utility budget throughout the year.  
    • Provide leadership within the function, setting individual objectives, managing performance, developing, and motivating staff, provision of formal and informal feedback and appraisal – in order to maximize subordinate and departmental performance in the pursuit of the Department’s objectives.

About You:

The ideal candidate for this position will have the following experience and qualifications:

Minimum Qualification:

Engineering Diploma with experience in handling real estate assets and inventory and good working knowledge of utility management.


Experience: 

  • Minimum 4-6 years experience in a facilities management-related role.
  • Middle East experience is preferred.

Technical Competencies:

  • Excellent interpersonal skills with the ability to communicate at all levels of the supply chain from sub-contractor, clients, and authorities.
  • Experience with AutoCAD is an advantage.
  • Good standard of written and spoken English. 
  • Experience with Yardi and Salesforce preferred.
  • Intermediate to advanced level MS Excel proficiency.
  • Facilities, leasing, and building services management experience.
Fit-out and project management knowledge is an advantage.
