Job Description

A Senior Document Controller plays a vital role in managing, distributing, and maintaining important documents across an organization. Tasked with overseeing the document control systems, this role ensures that all documents are accurate, up-to-date, and effectively managed according to industry standards. A Senior Document Controller supervises junior team members, ensuring that document control policies and procedures are strictly followed. This position requires excellent organizational skills, attention to detail, and a comprehensive understanding of document management principles. The ideal candidate will bring significant experience in document management within a technical or industrial environment and will contribute to the effective and efficient document control process while ensuring compliance with regulatory and organizational standards.


Responsibilities

  • Oversee the entire document control lifecycle, from creation to archiving.
  • Ensure that document control policies and procedures are rigorously followed.
  • Review documents for accuracy, completeness, and compliance to standards.
  • Supervise junior document controllers and provide necessary guidance and training.
  • Coordinate with project teams to understand document requirements and timelines.
  • Manage the electronic document management system (EDMS) and maintain digital files.
  • Develop and implement efficient filing systems for easy document retrieval.
  • Maintain logs, registers, and indexes for document tracking and historical recordkeeping.
  • Ensure all documents are submitted on time and meet quality standards.
  • Respond efficiently to document retrieval requests from staff and external partners.
  • Audit document control processes regularly to identify areas for improvement.
  • Prepare reports on the status of document management activities and compliance.

Requirements

  • Bachelor's degree in business, administration, or a related field preferred.
  • Minimum of 5 years experience in document control or a related position.
  • Strong familiarity with electronic document management systems and software.
  • Excellent organizational skills and attention to detail are essential.
  • Demonstrated ability to train and supervise junior team members effectively.
  • Strong understanding of document management principles and regulatory standards.
  • Ability to manage multiple tasks and priorities efficiently under tight deadlines.
  • Proficient in Microsoft Office Suite and document management software.
