Job Description

We are seeking a professional and dedicated Receptionist & Office Admin to join our dynamic team. The ideal candidate will be the first point of contact for our company and will be responsible for offering administrative support across the organization. In this role, you will handle the flow of people through the office and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. You will be involved in distribution of correspondence and redirecting phone calls. Additionally, you will provide general administrative support to the management team and coordinate tasks that contribute to the smooth operation of the office. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office reception area.
  • Direct visitors to the appropriate person or department based on their needs.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
  • Receive and sort daily mail, deliveries, and courier-related packages efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Answer, screen, and forward incoming phone calls to the designated recipient promptly.
  • Perform clerical duties such as filing, photocopying, transcribing, and maintaining records.
  • Manage appointment scheduling by organizing meetings and coordinating calendars as needed.
  • Assist in the arrangement and preparation of office events, meetings, and conferences.
  • Order office supplies and maintain an inventory, ensuring there are adequate stock levels.
  • Support the administrative team with document preparation, data entry, and report generation.
  • Provide general support to the office team and assist with special projects as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment like printers.
  • Solid written and verbal communication skills in a professional business environment.
  • Excellent organizational capabilities and time management skills for daily tasks.
  • Customer service attitude with the ability to manage a diverse range of inquiries.
  • High school diploma or GED; additional certification in office administration is a plus.
  • Ability to handle stress effectively and adapt to a fast-paced work setting when required.
