We are seeking a highly organized and friendly individual to join our team as a Receptionist & Office Admin. In this dual role, you will be the welcoming face of our office while also ensuring smooth administrative operations. Your responsibilities will include greeting visitors, managing phone calls, and providing support to various departments. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as needed.
  • Maintain office security by following safety procedures and controlling access.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Receive, sort, and distribute daily mail and deliveries.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material.
  • Provide basic and accurate information in-person and via phone/email.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Update calendars and schedule meetings for staff and management.
  • Assist with office administration tasks including ordering office supplies.
  • Coordinate with office staff to ensure proper maintenance of office equipment.
  • Compile and update employee records and office directories regularly.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficiency in Microsoft Office Suite applications, specifically Word and Excel.
  • Professional attitude and appearance with solid written and verbal communication skills.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Excellent organizational skills and ability to multitask and prioritize tasks effectively.
  • Strong customer service skills and a friendly, approachable demeanor.
