Job Description

A Receptionist / Customer Service role is pivotal in creating a welcoming atmosphere and providing exceptional service to clients and visitors. This position is often the first point of contact for customers, handling inquiries and complaints, and ensuring that all visitors have a positive experience. A successful candidate will be organized, possess excellent communication skills, and be capable of multitasking in a fast-paced environment. In this role, you will be expected to manage front desk operations efficiently and maintain professional relationships with both internal and external stakeholders. Your role will contribute significantly to maintaining the company’s positive image and ensuring smooth daily operations. The ideal candidate will be proactive, personable, and dedicated to customer service excellence.


Responsibilities

  • Greet visitors warmly and provide assistance with inquiries at the front desk.
  • Manage and route incoming phone calls promptly and professionally.
  • Maintain a tidy and organized reception area at all times.
  • Schedule and confirm appointments efficiently for guests and staff.
  • Assist in handling customer complaints and resolving issues courteously.
  • Coordinate with other departments to facilitate smooth operations and communications.
  • Receive and sort daily mail, deliveries, and courier packages promptly.
  • Maintain and update an accurate visitor log and employee directory.
  • Ensure compliance with security and safety procedures for all visitors.
  • Provide administrative support such as filing, photocopying, and data entry.
  • Monitor and maintain office supplies inventory, placing orders as necessary.
  • Assist with planning and executing internal company events when required.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven experience as a receptionist or in customer service role.
  • Excellent verbal and written communication skills are necessary.
  • Strong organizational skills and the ability to multitask efficiently.
  • Familiarity with office equipment like printers and fax machines.
  • Proficiency in Microsoft Office Suite and appointment scheduling software.
  • Exceptional customer service and interpersonal skills needed for success.
