Job Description

As a Receptionist, you will be the welcoming face of our company, providing a warm and professional first impression to visitors and clients. You will be responsible for ensuring smooth and efficient front desk operations, handling incoming calls, and directing them to the appropriate departments. In addition, you will maintain a neat and organized reception area, while assisting with various administrative tasks. This role requires excellent communication and multitasking skills, as well as a friendly and hospitable demeanor to manage the reception area efficiently, ensuring a positive experience for our guests and a seamless coordination with internal teams. Responsibilities

  • Answer and direct all incoming phone calls in a timely manner.
  • Greet and welcome guests as soon as they arrive at the office.
  • Ensure the reception area is tidy and presentable, with all necessary supplies.
  • Provide accurate information in-person and via phone/email to visitors.
  • Manage and distribute incoming mail and prepare outgoing mail accordingly.
  • Maintain office security by following safety procedures and controlling access.
  • Coordinate appointments and meetings, and maintain calendars accordingly.
  • Assist in the preparation of meeting rooms and organize refreshments.
  • Keep updated records of office expenses and costs as needed.
  • Support management with various administrative tasks and projects.
  • Order office supplies and maintain inventory levels as required.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.

Requirements

  • High school diploma or equivalent education is required for this position.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite and basic computer operations.
  • Professional attitude and appearance are essential for this role.
  • Solid written and verbal communication skills with demonstrated competence.
  • Excellent organizational skills, capable of multitasking effectively.
  • Customer service attitude with the ability to handle pressure gracefully.
