Job Description

We are seeking a highly organized and welcoming Receptionist to join our dynamic team. As the first point of contact for clients and visitors, the ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to handle multiple tasks efficiently. The Receptionist will play a critical role in ensuring the smooth operation of our front desk activities and providing exceptional service to both external and internal stakeholders. You will handle inquiries, manage appointments, and maintain an inviting environment in the office. A successful Receptionist will have a keen eye for detail and a proactive approach to problem-solving, enhancing the overall guest and employee experience.


Responsibilities

  • Welcome visitors and direct them to appropriate personnel or locations.
  • Manage incoming calls with professionalism, clarity, and helpfulness.
  • Maintain the reception area tidy and presentable with all necessary materials.
  • Coordinate communication flow by distributing mail and forwarding calls.
  • Schedule and manage appointments efficiently to prevent overlaps.
  • Provide basic and accurate information to internal and external inquiries.
  • Handle and screen telephone calls in a courteous and informative manner.
  • Assist in company-wide events and activities as required by management.
  • Ensure the security and safety of the workplace by monitoring visitor access.
  • Order and keep stock of office and refreshments supplies as necessary.
  • Support administrative operations with various office duties and tasks.
  • Manage booking and calendars for conference rooms and common areas.

Requirements

  • High school diploma or equivalent education is mandatory for this role.
  • Proven experience as a receptionist or in a similar customer service role.
  • Strong verbal and written communication skills are essential for success.
  • Proficiency in Microsoft Office Suite and general computer skills required.
  • Ability to multitask, prioritize, and manage time effectively is important.
  • Polite and professional demeanor with excellent interpersonal skills needed.
  • Strong organizational skills and attention to detail in daily activities.
