Job Description

The Receptionist position is integral to the smooth operation and welcoming atmosphere of our company. As the initial point of contact for clients, visitors, and vendors, the Receptionist sets the first impression both in person and over the phone. This role requires a blend of organizational prowess, excellent communication skills, and a warm, inviting demeanor. The Receptionist is responsible for managing the front desk operations, maintaining security protocols, and providing administrative support across the organization. This individual will work closely with all departments, ensuring that inquiries and correspondence are efficiently directed, and that all interactions align with our organization's values and customer service standards. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office effectively.
  • Answer, screen, and forward incoming phone calls on a multi-line system.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock consistently.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Update calendars and schedule meetings as necessary for various departments.
  • Arrange travel and accommodations, and prepare vouchers as needed.
  • Coordinate with the facilities teams for organizing office maintenance and repairs.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient with Microsoft Office Suite or similar office software platforms.
  • Hands-on experience with office equipment like photocopiers and fax machines.
  • Professional attitude and appearance with strong customer service skills.
  • Solid written and verbal communication skills and attention to detail.
  • Excellent organizational skills and ability to multitask and prioritize tasks.
  • High school degree; additional certification in Office Management is a plus.
