Job Title: Project Accounts & Admin Executive

Location: Dubai

Department: Projects / Commercial

Reports To: Commercial Head


Job Summary:

We are looking for a dedicated and process-driven Project Documentation & Completion Coordinator to oversee the end-to-end execution of our Project Completion SOP. This role requires coordinating with project teams, maintaining documentation, managing PA (Payment Application) processes, and supporting certification and collection efforts. The ideal candidate will ensure accuracy, consistency, and timely completion of all documentation and client-facing follow-ups.


Key Responsibilities:

Coordinate closely with the Project Team to maintain the Project Completion Tracker.

Manage and update LPO documents, including tracking weekly progress reports, completion percentage, and man-month utilization.

Analyze and report Planned vs Actual Man Months on a regular basis.

Prepare and update PA (Payment Application) Sheets and ensure accuracy in data entry.

Use standardized PA Templates for consistency and compliance.

Send PA Emails and manage client follow-ups for approvals and clarifications.

Liaise with the Project Team and Client to resolve any disputes and secure necessary approvals.

Track and ensure timely receipt of PC (Project Completion) Certifications.

Coordinate with the Finance/Accounts team to support Collection post-certification.


Qualifications:

Bachelor’s degree in Accounts, Business, Engineering, or a related field.

2+ years of experience in project coordination, documentation, or commercial administration.

Strong understanding of project lifecycle documentation and client coordination.

Proficiency in Microsoft Excel, Word, and project tracking tools.

Excellent written and verbal communication skills.

Ability to multitask and manage deadlines across multiple projects.


Preferred Skills:

Experience working in an engineering, construction, or project-based environment.

Familiarity with LPOs, man-month tracking, and certification processes.

Strong attention to detail and accuracy in documentation.
