The Personal Concierge administers and supervises all true Waldorf service arrivals in order to achieve an authentic and unique service experience for our guests by providing the highest levels of courtesy, professionalism and unparalleled service. This position acts as a first impression of Waldorf Astoria Hotels & Resorts by contacting guests prior to their arrival, ascertaining their needs and preparing for their stay.

What will I be doing?

The Personal Concierge provides guests with a stay experience that is customized to their needs, while creating a sense of “we’ve been expecting you.” The Personal Concierge meets and greets all true Waldorf Service guests curbside upon arrival. This position represents the highest level of service by combining instincts and expertise to ensure luxury through true Waldorf service

  • Contacts guests through TWS pre-arrival email process and pre-arrival phone calls to welcome the guest and ascertain their needs and special arrangements, as well as their arrival time.
  • Ensure that all relevant departments are advised of the guest’s history and requests/preferences prior to arrival.
  • Coordinates and responds to all guest requests by assessing the guest needs and requests and then adding personal recommendations and touches to achieve maximum guest satisfaction.
  • Confirms all guest requests via email and/or phone call at least three days prior to arrival and ensures all hotel operating departments have relevant guest information to deliver True Waldorf Service that creates unique guest memories.
  • Provides a warm and personal welcome experience to guests to give them a sense of “we’ve been expecting you.”
  • Communicates with other departments through discrete radio communication with the valet, door, bell and front desk team.
  • Prioritizes daily room assignments for all TWS guests and makes appropriate selection of rooms based on guest needs/requests.
  • If possible, the TWS guest’s room/suite will be pre-blocked three days prior to arrival.
  • Escorts the guest to their room/suite, and provides an orientation of the room/suite’s services and amenities offered.
  • Reviews and confirms all guest requests to ensure accuracy and communicates all appropriate changes as needed.
  • For TWS guests, and guests celebrating a special occasion, the Personal Concierge will choose an appropriate amenity to be placed in the guest room.
  • Ensures all team members are aware of all TWS arrivals, through verbal and email communication.
  • Inspects the guest’s room/suite on day of arrival, and reports any issues to the relevant departments.
  • Offers guests appropriate departure services if not already confirmed, including transportation, shipping, shopping, account settlement, boarding passes, airline/airport updates, weather information of final destination, boxed lunches to go and any other TWS departure services.
  • Coordinate departure services with all hotel operating departments.

  • Previous experience in similar role.
  • Calm, efficient and organized with great attention to detail.
  • Excellent personal presentation and communication skills.
  • A passion for delivering exceptional levels of Guest service.
  • Ability to multi-task while maintaining a positive attitude when working with Guests.
  • Computer literate and able to navigate through the property management systems.
  • Professional manner with an emphasis on hospitality and guest service.
  • Proven ability to listen and respond to demanding Guest needs.
  • Conflict resolution experience.
  • Cash handling experience.
