Are you a highly organized, proactive individual with a knack for multitasking? We are seeking a Personal Assistant to support our executive team, ensuring smooth operations and management of day-to-day activities. You will play a pivotal role in managing schedules, facilitating communication, and keeping the executive team on track with their objectives. As a Personal Assistant, you will be expected to handle sensitive and complex issues professionally and objectively, playing a crucial part in helping the organization meet its goals. This role demands confidentiality, initiative, and attention to detail, making it an essential position for enhancing organizational efficiency.


Responsibilities

  • Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
  • Coordinate communication between executives and internal/external parties as required.
  • Prepare reports, presentations, and data for meetings and discussions.
  • Conduct research and gather information to aid in decision-making processes.
  • Assist with special projects, ensuring deliverables are completed timely and correctly.
  • Organize and prioritize large volumes of information and communications effectively.
  • Keep track of and manage tasks to ensure deadlines are met promptly.
  • Facilitate and coordinate smooth operations of daily activities for the executive team.
  • Handle and distribute correspondence, drafting responses when necessary.
  • Maintain confidentiality in all sensitive matters and operations.
  • Assist in the preparation and logistical execution of executive meetings.
  • Oversee and manage office stationery and other administrative supplies inventory.

Requirements

  • Proven experience as a Personal Assistant or relevant administrative role.
  • Exceptional organizational and communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • High level of discretion and professionalism when handling confidential information.
  • Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong problem-solving skills and attention to detail are essential.
  • A bachelor’s degree in Business Administration or related field is preferred.
