Responsibilities

  • Manage and organize the executive's calendar, scheduling meetings and appointments efficiently.
  • Coordinate travel arrangements including booking flights, accommodation, and itinerary planning.
  • Handle confidential information with discretion and ensure data integrity and security.
  • Prepare reports, memos, letters, and other documents as needed by the executive.
  • Conduct research and gather information to support executive decision-making processes.
  • Assist in personal tasks such as event planning and household management when required.
  • Screen and handle phone calls, emails, and correspondence on behalf of the executive.
  • Liaise with internal staff and external clients to facilitate smooth communication and workflow.
  • Organize and maintain the office filing system, both physical and electronic documentation.
  • Attend meetings and take detailed minutes to provide comprehensive records.
  • Support the executive in managing budgets, tracking expenses, and processing invoices.
  • Provide reliable reminders and follow-ups to ensure executive tasks are met on time.

Requirements

  • Proven experience as a personal assistant or strong administrative background.
  • Exceptional organizational and time-management abilities to handle multiple tasks.
  • Strong written and verbal communication skills for efficient correspondence.
  • Discretion and confidentiality in handling sensitive and personal information.
  • Proficiency in MS Office Suite and other office management software.
  • Flexibility to adapt to a dynamic and fast-paced work environment.
  • Ability to anticipate needs and act proactively in various situations.
