Job Overview
Heres your chance to step into the role of People Project Executive - Dubai Holding Entertainment. In this position, youll take on key responsibilities that include:
Project Leadership and Execution
Lead the planning and execution of departmental and cross-functional projects, ensuring initiatives are delivered on time, within scope, and in line with business objectives
Define project goals, develop project charters and work plans, allocate responsibilities, and monitor project budgets and resource usage
Manage multiple projects simultaneously, adapting to shifting priorities while maintaining high standards of delivery
Project Planning, Coordination, and Communication
Create and maintain detailed project plans including milestones, dependencies, and deadlines using project management tools
Coordinate project meetings, prepare agendas and minutes, and follow up on action items to maintain momentum and accountability
Act as a point of contact for internal and external stakeholders, ensuring clear, timely, and professional communication throughout the project lifecycle
Progress Tracking, Monitoring, and Reporting
Monitor ongoing project performance and track progress against timelines, KPIs, and deliverables
Prepare regular status reports, visual dashboards, and presentations for leadership, highlighting progress, challenges, and recommended actions
Maintain comprehensive documentation, including risk logs, change requests, and issue trackers
Risk and Issue Management
Identify potential project risks and issues early and develop and implement mitigation strategies in collaboration with relevant stakeholders
Proactively resolve or escalate critical issues to minimize disruption to timelines or outcomes
Operational and Administrative Support
Coordinate day-to-day operations within the office, ensuring alignment with department goals and smooth workflow between teams
Maintain shared folders, templates, trackers, and documentation to support administrative efficiency and organizational consistency
Assist leadership with policy rollouts, internal communications, and ad-hoc administrative tasks
Manage scheduling for departmental meetings, leadership one-on-ones, and cross-functional sessions, ensuring optimal calendar alignment
Prepare meeting materials, ensure technical setups (virtual or in-person) are arranged, and capture action items for follow-up
Team Engagement and Office Culture
Organize and coordinate internal team activities, including offsites, team-building sessions, recognition events, and celebrations
Maintain up-to-date trackers for birthdays, work anniversaries, and milestones, ensuring timely recognition in alignment with company culture
Support employee engagement initiatives by contributing creative ideas to promote a positive and inclusive workplace environment
Vendor and Budget Coordination
Liaise with vendors and external service providers for project-related services, office supplies, event planning, and logistics
Track spending related to projects and office operations, ensuring alignment with allocated budgets and company procurement policies
About You
The preferred candidate for this role should possess the following experience and credentials:
Bachelor’s degree in Business Administration, Human Resources, Project Management, or a related field
Certification in project management (e.g., PMP, CAPM, PRINCE2) is an advantage but not required
Minimum of 3–5 years of experience in office administration, HR support, or executive assistance, preferably in a corporate or HR department setting
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Familiarity with systems and collaboration platforms (e.g., Microsoft Teams, SharePoint) is preferred
Strong verbal and written communication skills in English
Additional languages (e.g., Arabic) is an advantage
