Job Description

As a Payroll Specialist, you will be at the heart of the company's financial operations, ensuring the smooth processing of payroll for all employees. Your role is critical in maintaining compliance with federal, state, and local payroll regulations while serving as a dependable resource for employees with payroll inquiries. You will collaborate with the HR and Accounting departments to streamline payroll processes and resolve any payroll-related discrepancies. Precision, privacy, and compliance with regulatory standards are vital in this role. Responsibilities

  • Process company payroll for all employees accurately and timely across multiple pay cycles.
  • Maintain payroll information by collecting, calculating, and entering data into payroll systems.
  • Manage payroll discrepancies by resolving payroll related questions and requests from employees.
  • Ensure the accuracy of payroll reports and payroll processing in compliance with federal, state, and local regulations.
  • Collaborate with HR and Finance departments to ensure proper employee data management.
  • Audit payroll data for accuracy and completeness, and make necessary adjustments as needed.
  • Assist in the preparation of relevant management reports, such as monthly payroll summaries and analyses.
  • Coordinate and communicate any payroll system changes to affected employees and departments.
  • Ensure all payroll documentation is properly filed and maintain a high level of data integrity and confidentiality.
  • Stay updated on current payroll regulations, taxation changes, and best practices in payroll management.
  • Participate in system upgrades and implement process improvements for payroll procedures as required.
  • Provide excellent customer service to employees and management regarding payroll-related functions.

Requirements

  • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
  • Proven experience as a Payroll Specialist or similar role in a corporate environment.
  • Knowledge of payroll software and processing systems such as ADP or Paychex.
  • Strong understanding of accounting principles and payroll tax regulations.
  • Excellent organizational and time management skills with keen attention to detail.
  • Strong communication skills to clearly articulate payroll issues and solutions.
  • Ability to handle confidential financial and personnel information with discretion.
  • Proficiency in Microsoft Office Suite, particularly Excel for payroll data analysis.
