Job Description

We are seeking a diligent and detail-oriented Payroll Specialist to join our finance team. In this role, you will be responsible for managing and overseeing all aspects of payroll processing within the organization. The ideal candidate should have a solid understanding of payroll and taxation, along with a keen eye for accuracy. You will ensure that all employees are paid accurately and on time while maintaining compliance with all federal, state, and local regulations. Your role is crucial in managing sensitive employee data, calculating wages, and addressing payroll-related inquiries. Responsibilities

  • Process payroll for employees accurately and in a timely manner every cycle.
  • Maintain payroll information by designing systems and directing the collection and entry of data.
  • Reconcile payroll prior to transmission and validate reports for accuracy and compliance.
  • Prepare financial reports and assist in monthly, quarterly, and year-end audits.
  • Respond to employee inquiries regarding payroll and resolve any discrepancies.
  • Ensure compliance with federal, state, local, and corporate policies, regulations, and laws.
  • Manage and maintain payroll records and ensure data confidentiality and security.
  • Coordinate with HR regarding employee data changes and updates for payroll.
  • Stay updated with the latest payroll practices, technologies, and trends in the industry.
  • Liaise with third-party vendors like benefits providers, to support payroll functions.
  • Identify and recommend updates to payroll processes and systems for efficiency.
  • Prepare and distribute annual W-2s, 1099s and other tax-related documents to employees.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • Proven work experience as a Payroll Specialist, Payroll Administrator, or similar role.
  • Strong knowledge of payroll processes, labor legislation, and tax regulation compliance.
  • Proficient in payroll software, such as ADP, QuickBooks, or similar systems.
  • Exceptional attention to detail, accuracy, and data entry skills are a must.
  • Excellent communication skills, both written and verbal, for interacting with employees.
  • Highly organized and capable of managing multiple tasks and deadlines efficiently.
